AI HR Assistant: Ask Your HR Data in Plain Words

What is the NepalHRM AI HR assistant?
The NepalHRM AI HR assistant is a chat panel in the NepalHRM web app that answers questions about your company's HR records in plain words. It reads attendance, leave, payroll readiness, payslips, recruitment and performance through 25 read-only tools, 24 quick reports and 65 help articles, with the same permissions as the page that shows the data, and links each answer to that page. It is included on the Enterprise plan.
- Company admins have it by default and give HR, managers or employees access with the Use AI HR assistant permission.
- Salary, payslip lines, PAN and bank details are visible only to HR or for your own record.
- In a pilot switched on per company, it can prepare a change, and nothing happens until you press Confirm.
- To answer, it sends the records it reads to its model provider, [PROVIDER], in [COUNTRY].

HR Spends the Day Looking Things Up
Most questions that reach HR already have an answer in the system. Finding it means opening three pages and reading a policy.
- “Why was so much tax cut this month?” answered by opening the payslip, the salary structure and the tax settings
- Payroll blockers found on the day of the run, one employee at a time
- “Who's absent today?” counted off the attendance board by hand
- Leave questions that need the policy, the balance and the approval chain read together
Ask in Plain Words
The assistant reads the same records the pages show, with the same permissions, and answers with a link to the page.
What NepalHRM gives you
- A payslip's tax explained line by line from the stored payslip
- Payroll readiness, with the reason each blocked employee is blocked
- Today's attendance by status for the people you can see
- Leave eligibility and approval status, rule by rule
The Questions HR Hears Every Week, Answered From Your Records
Each answer is built from your company's own setup and help articles, never from rates recalled from memory. Who can ask what depends on their role.
“Who's absent today?”
Absent, late, on-leave and present counts for the people you can see, with names and a link to Attendance.
“What is blocking the Bhadra 2083 payroll run?”
Which employees would stop the run and why (a missing salary, salary structure, shift or attendance policy), the warnings that will not, and a link to fix each. Ask “Is Bhadra 2083 ready to run?” for a verdict and the first fix.
“Why was so much tax deducted on my Bhadra 2083 payslip?”
The stored payslip's earnings, deductions and tax breakdown in plain words. It reads the payslip; it does not recall tax rates.
“Why does 2026-09-15 show me as late?”
The shift start, the first punch, the grace rule and the attendance policy that marked the day late.
“Why is Sujan not given the option to take leave?”
A rule-by-rule answer: tenure, employment type, a closed leave year or the balance. If two people are called Sujan, it asks which one.
“Why is my leave request not approved yet?”
The current stage, who has to approve next and the steps already decided.
“Give me insight into my team's performance”
For a manager: goal completion, goals at risk, check-in adherence, kudos and the spread of ratings across the team.
“How do I set up a leave policy?”
Numbered steps from NepalHRM's help articles, the usual gotchas, and a link to the page where you do it.
“Is any configuration left or is everything OK?”
For an admin in a new workspace: the setup items still pending and how much sample data is left to clear.
Switched On by Plan, Granted by Role
The assistant comes with the Enterprise plan, and an admin decides who else in the company can use it.

The Actions Pilot: What It Can Never Do
Pilot, on request: the assistant can prepare a change for you. Nothing happens until you press Confirm. Salary amounts must be typed out in full, and a card that is not confirmed expires after 10 minutes.
It can never
- Pay salaries
- Approve payroll
- Export bank files
- Approve leave
- Change permissions
- Delete employee, payroll or leave records (an admin can only have it clear the sample data a new workspace starts with)
What Happens When You Ask
One track for a question, one for the actions pilot. Both run on the permissions your company already set.
- Ask the way you would ask a colleague. It understands common Romanized Nepali phrasing and BS dates, such as Bhadra 2083.
- Each read uses the same permission as the page that shows that data, and a read can never change a record. Salary is visible only to HR or for your own record.
- To answer, the assistant sends the records it reads to its model provider, [PROVIDER], in [COUNTRY]. The FAQ below lists exactly which records.
- Answers come with a link to the page where you can check the detail or make the change yourself.
- For example: “Set Ram Thapa's salary to Rs 50,000.” Salary amounts must be typed out in full; “10%” or “60k” is refused and you are asked for each amount.
- The assistant prepares a card showing who changes, the current and new figure, and from when. Nothing has changed yet.
- Only the person who asked can confirm the card. If nobody does within 10 minutes it expires, and a newer request in the same chat replaces it.
- At Confirm your permission is checked again and the change goes through the same path as the page. If the records changed since the card was shown, nothing runs and you ask again.
