HR & Payroll Software for Hospitals & Clinics in Nepal
Rotating 24/7 rosters, night duty priced from the punches that actually happened, department-level leave policies for clinical and support staff, and PF/CIT/SSF/eTDS payroll underneath all of it.
One Platform for the Ward, the Lab and the Office
A hospital is several workforces sharing a building. NepalHRM keeps their shifts, leave rules and pay structures apart while paying everybody from one run.
Four Things a Hospital Month Has and an Office Month Does Not
None of them are about the salary formula. They are about the roster, the night, the mix of staff and the paperwork that keeps a hospital empanelled.
Wards run morning, evening and night every day of the year, including Dashain. A roster tool that assumes a five-day week and one shift cannot describe a nursing station.
Night duty carries an allowance and a higher overtime rate. Most hospitals count those nights off a printed roster at month-end, which is the single most disputed number in the salary sheet.
Consultants, medical officers, nurses, lab and radiology, pharmacy, housekeeping and security sit on different leave entitlements, different shifts and different pay structures.
Council registration certificates and renewals live in a drawer or an inbox. Nobody notices a lapsed one until an inspection or an insurance empanelment audit asks for the file.
Built Around the Duty Roster, Not Bolted Onto It
Rosters, night pricing, leave by department and the statutory deductions, in the order a hospital HR office actually meets them.
24/7 rosters with a publish step
Build morning, evening and night shifts once, assign them per person or in bulk with a date range, and rotate daily, weekly or monthly. The week stays a Draft until you publish it to staff.
Night shifts counted on the right day
A shift flagged as a night shift keeps a 21:00 to 05:00 duty grouped under the day it started, so a nurse is not shown absent on one date and doubled on the next.
Night allowance from real punches
Set a night window and an amount, and the allowance is priced either once per qualifying night or per hour actually worked inside that window. It arrives as its own taxable earning line.
Night overtime at its own rate
Overtime carries a rate tier, and Night ships at 1.75x against Regular at 1.5x. Approved hours are priced at the tier and flow into that month's salary sheet.
Leave policies per department
A leave policy applies to everyone, or only to named departments, roles, locations or people. ICU and administration can hold genuinely different entitlements without two systems.
Registration documents on request
Ask a named employee for a specific document in a specific format with a due date. The request moves through Requested, Uploaded and Approved, so the file is on the record and not in an inbox.
Visiting consultants on contract
Consultancy, fixed-term and part-time contracts each carry an end date and their signed scans. A daily sweep marks an expired term Expired instead of leaving it counted as active.
Biometric at every entrance
ZKTeco and Hikvision readers at the staff entrance, the OPD block and the back gate report into one attendance log, with a raw punch record behind every summary.
Who saw the salary, and when
Six access roles and per-module permissions decide who opens a payslip, and the audit log records the change. Salary confidentiality survives a hospital's staff turnover.
The most disputed number in the salary sheet, taken off the punch log.
Night duty usually reaches payroll as a count somebody kept on a printout, which is why it is argued about. NepalHRM prices it from the attendance record instead. You define the window that counts as night and the amount it is worth, and choose between paying a flat figure for each qualifying night or an hourly rate for the time actually worked inside the window. The result is a separate, taxable line on the payslip, so a nurse who thinks a night is missing can be shown the punch it came from. The allowance stays at zero until somebody sets the amount, which means it never appears by accident.
- Night window set once, per company
- Flat per night, or hourly in-window
- Its own taxable earning line
- Night overtime tier at 1.75x
The three modules a hospital switches on first
The roster comes first because everything else reads from it. Leave and payroll follow, in that order.
Shift templates, night flags, rotations, the weekly publish step and overtime rate tiers.
Leave types, accrual, department and role-scoped policies, approval chains and year-end close.
Night allowance, approved overtime, PF, CIT, SSF and eTDS on the current IRD slabs.
Questions from Hospital HR and Nursing Superintendents
Yes. Create morning, evening and night shifts once with their start, end, grace minutes and breaks, then assign them to individuals or in bulk over a date range with a daily, weekly or monthly rotation. The weekly grid holds changes as drafts until you publish the week, so a half-finished roster is never visible on the ward. Weekly off days are set per shift rather than assumed to be Saturday.
From punches, not from a count kept on paper. You set the night window and the amount, and choose whether the allowance pays a flat figure per qualifying night or an hourly rate for the time actually worked inside that window. It lands on the payslip as its own taxable earning line, separate from basic and from overtime, so a disputed night is checked against the punch record rather than argued about.
Yes, if you want it to be. Overtime is priced through rate tiers, and every account starts with Regular at 1.5x, Weekend at 2.0x, Holiday at 2.5x, Night at 1.75x and Emergency at 2.0x. The Labour Act 2074 section 32 floor of 1.5 times the hourly rate applies to all of them. Rename a tier or change a multiplier to match your service rules.
Yes. A leave policy declares who it applies to: all employees, named departments, named roles, a location or specific people. So an ICU or emergency roster can carry its own entitlement, accrual and approval chain while the office follows the standard policy. Approvals route to the reporting manager with an HR fallback when that manager is on leave.
It holds them and it chases them, through document requests. HR asks a named employee for a specific document in a specific format with a due date, and the request moves from Requested to Uploaded to Approved, with the file attached to the employee record. NepalHRM does not watch a certificate's own expiry date and raise its own alarm, so the renewal cycle is one you drive.
Yes. PF, CIT, SSF and eTDS calculate on the current IRD slabs for every employee, whatever their shift pattern, and the CIT Optimizer suggests the maximum legally permitted CIT contribution. Night allowances and approved overtime are taxable earnings and are included in that calculation rather than being paid outside it, which is what keeps the eTDS file consistent with what staff actually received.
Yes. Multiple companies are managed from one login, each with its own staff, attendance devices, shifts and payroll settings, while management sees them together. Branches within a single company work the same way and can have their own biometric devices and their own attendance approver.
