Applicant Tracking System (ATS)

Definition

An applicant tracking system is software that manages hiring from job posting to offer: applications in one place, candidates moving through defined stages, and a record of who decided what.

The problem it solves

Hiring by inbox works until it does not. Applications sit in one person's email, nobody can see which candidates are where, two interviewers ask the same questions, and a strong candidate goes cold because their follow-up was buried under a Friday afternoon.

An ATS moves that into a shared pipeline: every application in one place, every candidate at a known stage, and a written trail of the decisions.

  • A pipeline with defined stages, so a candidate's status is a fact rather than a recollection.

The handover is the part people forget

A hire is not finished when the offer is accepted. If the ATS and the HR system are separate, somebody retypes the new joiner's details, and that is where names, PANs and account numbers get mistyped. An ATS that hands the accepted candidate directly to onboarding removes the retyping and the errors that come with it.
