HRMS
An HRMS, or human resource management system, is software that holds employee data and runs the workflows around it: payroll, attendance, leave, performance and the approvals that connect them.

The distinguishing feature of an HRMS is not that it stores records. Any spreadsheet does that. It is that the records drive processes: an approved leave request changes a balance, which changes an attendance day, which changes a payroll calculation, without anyone retyping anything.
That chain is why an HRMS reduces work rather than adding a system to maintain. When the chain is broken, and leave lives in one place and payroll in another, the software becomes a second set of books.
What is usually inside one
- Core employee records: profiles, documents, contracts, reporting lines.
- Attendance and time: punches, shifts, overtime.
- Leave: entitlements, accrual, requests and balances.
- Payroll: earnings, statutory contributions, tax and payslips.
- Performance, recruitment, assets and helpdesk, depending on the platform.
- Self-service, so employees answer their own routine questions.
When a company needs one
The usual trigger is not headcount, it is the number of places the same fact is recorded. When an employee's salary exists in a spreadsheet, an offer letter, a bank file and an accountant's ledger, and they are updated separately, the cost of keeping them in agreement has already exceeded the cost of a system.
