HRIS

Definition

An HRIS, or human resource information system, is the system of record for employee data: profiles, contracts, documents, reporting lines and history. It stores and reports; an HRMS adds the workflows on top.

The distinction in one line

An HRIS is the record. An HRMS is the record plus the processes that act on it. HCM is a broader term that adds talent, succession and workforce planning to the same base.

Vendors use the three labels loosely, and a product called an HRIS often runs payroll. What matters when evaluating one is not the label but which employee facts it owns, and whether anything else in the company holds a competing copy.

What belongs in the system of record

  • Identity and contact details, and the identifiers payroll depends on.
  • Contract type, start date, confirmation date, reporting line.
  • Salary structure and its history, not just the current figure.
  • Documents, with an expiry where one applies.
  • The full employment history, including transfers and role changes.

One source, or none

The value of a system of record collapses the moment a second copy of the same fact exists somewhere else. A finance spreadsheet with its own salary column is not a backup; it is a second answer to the same question, and there is no way to tell which is right without checking both.
