Public holidays this month

Ticked days are marked H. Untick the days your company stays open: the Labour Act sets 13 days a year (14 for women), and the employer picks which unless a regulator does.

Google Sheets: open a blank sheet, choose File, then Import, then Upload, and pick the .csv. The totals keep working. Or upload the .xlsx to Google Drive and open it with Google Sheets, which keeps the colours too.

There is no late code on purpose. Labour Act 2074 Section 38(1) lists the only deductions an employer may make from pay, and a late fine is not one of them. Time actually absent can go unpaid under Section 38(1)(e).

Making the sheet

Four Choices, One Month on Paper

The sheet is built in your browser from the 2083 calendar. Nothing you type is uploaded or stored.

  1. 1

    Pick the BS month

Months in 2083 run from 29 to 32 days. The sheet takes its columns from the real month, so Ashad gets day 32 and Mangsir and Magh stops at 29.

  2. 2

    Set the weekly off

Saturday by default, the day most Nepali employers rest. Section 40 of the Labour Act gives 1 day of weekly leave each week and names no day, so Sunday, or both, is a choice too.

  3. 3

    Add staff, check the holidays

One name per line. The month's days from the government's 2083 holiday notice come ticked; untick any day your company stays open.

  4. 4

    Download or print

Excel with the totals as formulas, a CSV for Google Sheets, or a landscape print with signature lines. Each person's row counts P, A, L, H and W into paid days.

How Long Each Month of 2083 Runs

A Nepali payroll month is a Bikram Sambat month, and its length changes from year to year. These are the lengths the sheet uses, with the AD dates each month covers.

"Holidays in the notice" counts the days the government's 2083 notice grants a general employee, about 34 across the year. A private employer owes 13 a year (14 to a female employee) under Section 41(1), and picks which.

What the sheet has to get right

Six Rules Behind the Columns

Each column on the sheet answers to the Labour Act 2074 or its Rules, and one column is missing on purpose.

01

A month is 29 to 32 days

Only 4 of the twelve months of 2083 run 30 days. A template with a fixed 30 columns is wrong in the other 8: it drops a working day or invents one. Payroll often still divides a monthly salary by a flat 30, which is convention, not the calendar.

02

Saturday is the weekly off by practice

Section 40 gives every labour 1 day of weekly leave a week and names no day; Nepali practice is Saturday, the sheet's default. Someone who works the weekly off is owed substitute leave within 21 days under Section 42(2).

03

There is no late code, on purpose

Section 38(1) lists 9 deductions an employer may make from pay, and it opens "except in the following circumstance, no amount shall be deducted", so the list is closed. A fine for arriving late is not on it. Section 38(1)(e) allows not paying for time actually absent, which is a different thing from a fine.

04

13 holidays a year, your choice of days

Section 41(1) requires 13 days of paid public leave a year, 14 for a female labour. The government's 2083 notice lists about 34 days for its own offices. The sheet pre-ticks the notice's days in the month; untick the ones your company does not observe.

05

Overtime goes in as hours

The OT column takes hours, not money. Section 30(1) sets overtime at no more than 4 hours a day and 24 a week, and Section 31(1) pays it at 1.5 times basic remuneration. The sheet records the hours; the overtime calculator prices them.

06

Keep it for 5 years

Rule 81(3) of the Labour Rules 2075 requires attendance and remuneration records to be kept for at least 5 years. A signed monthly sheet, filed, meets it on paper.

Attendance Sheets That Fill Themselves In

NepalHRM records attendance from the web and from supported biometric devices, and exports the month as an attendance sheet in Excel or PDF.

  • Punches from ZKTeco and Hikvision devices sync into one attendance record per employee.
  • Weekly offs and holidays come from the company's own calendar, so nobody types H or W by hand.
  • Employees request a correction, HR approves it, and the day is rebuilt from the punches.
  • Attendance is on Essential, Business and Enterprise. Approved days feed payroll on Business and Enterprise.

FAQs

Attendance Sheets, Answered

A monthly register with one row per employee and one column per day, each day marked present, absent, on leave, a public holiday or the weekly off. The totals at the end of the row give the paid days payroll needs. This template lays it out on the Bikram Sambat month, the month Nepali payroll runs on.

Baishakh 31, Jestha 31, Ashad 32, Shrawan 31, Bhadra 31, Ashwin 31, Kartik 30, Mangsir 29, Poush 30, Magh 29, Falgun 30, Chaitra 30. That is 365 days, and only 4 months run 30. The sheet uses the real length of the month you pick.

Not as a fine. Section 38(1) of the Labour Act 2074 lists the only 9 deductions an employer may make from pay, and a late fine is not one of them. Section 38(1)(e) lets an employer leave unpaid the time a worker was actually absent. Frequent lateness is a misconduct matter, handled through the 7-day clarification notice Section 135 requires, not through pay.

Section 40 gives 1 day of weekly leave each week without naming the day. Saturday is the Nepali practice and the sheet's default; pick Sunday, or both days, if your company rests differently.

It marks the days the government's 2083 notice grants a general employee in the month you pick, and lists the women-only and regional days unticked. A private employer owes 13 days a year (14 to a female employee) under Section 41(1) and picks which, so untick any day you stay open.

Download the CSV, open a blank Google Sheet and choose File, Import, Upload. The P, A, L, H and W totals are formulas and keep working. To keep the colours as well, upload the .xlsx to Google Drive and open it with Google Sheets.

At least 5 years. Rule 81(3) of the Labour Rules 2075 sets that for attendance and remuneration records.

Stop Counting P and A by Hand

A sheet like this is filled in by somebody every day and added up by somebody at month end. In NepalHRM the punches fill it in, and the month exports as an attendance sheet.
